Kokua Support Services is currently seeking a routine administrative and clerical services assistant in support of the Air Force Personnel Center’s SkillsBridge Program Managers, to include answering routine inquiries via telephone and/or email; preparing standard correspondence, briefings and presentations; coordinating meetings/logistics (to include scheduling and sending Outlook calendar invitations, using Word to type meeting agendas per directions provided and drafting initial minutes upon meeting conclusion), and assisting with routine customer inquiries about finding/accessing the SkillsBridge website via the internet.
Essential Duties and responsibilities include but not limited to:
-Accurately create emails, agendas, and minutes utilizing Microsoft Office products.
-Provide administrative program support by accurately compiling data into existing Microsoft PowerPoint and Excel databases.
-Utilize Air Force Automated Education Management System (AFAEMS) to download pre-existing SkillsBridge program reports to provide requested data regarding military members, company participation and job offer statistics.
-Access and utilize Microsoft Teams to download existing DoD company surveys and Memorandums of Understanding for additional company details regarding DoD SkillsBridge Partners.
-Print and/or save required documents to existing local filing system.
-Respond to requests through DoD Live Help Now Trouble Ticket System, following existing/provided scripts and SOPs.
-Update informational briefings and marketing materials.
-Track number of emails, phone calls, Excel data entries, and reports pulled, to include estimated completion times and received/responded dates.
-Assist identifying missing exit surveys from a system-generated report and contact AFPC/DP2SST staff to distribute data to the E&TS personnel.
-Other duties as assigned.
-Two (2) years’ experience working in an office environment. Prefer one year in a Department of Defense or Air Force office environment or comparable experience.
-Experience preparing and processing written and electronic communications from creation to final disposition.
-Ability to obtain a “public trust” clearance to support access to Government computer systems.
-Intermediate or higher knowledge and/or experience using Microsoft Office applications, i.e., Word, PowerPoint, Access, Excel, and Outlook
-Bi-Lingual (Spanish) helpful.
-Prior Experience in the Air Force’s Administration Career Field (3F5).
-Prior Industry (Government Contractor) experience supporting the Air Force or other DoD agency.
