Job Summary 

The Office Services Assistant will be responsible for executive programs, services and office functions in support of DPRI.  This includes acting as reviewing official in DTS for DPRI travel, basic office management and various administrative duties to include answering phones, word processing, processing mail, making travel arrangements, filing, and care of office equipment.

Duties include, but are not limited to the following: 

-Serve as the primary advisor in matters pertaining to deliberate, near-term and long range planning and execution of office business operations and execution of executive programs.

-Serve as a reviewing official in DTS for DPRI travel.

-Responsible for supervising the day to day activities, materials, equipment, and resources required to ensure effective office support.

-Assist DPRI Team Leads in the development of briefs, correspondences, planning documents, flow charts, spreadsheets, schedules, and databases.

-Establish office procedures to streamline and improve day to day services.

-Deliver a full range of secretarial services to DPRI, including answering telephones; formatting, typing and word processing of documents in accordance with the Naval Correspondence Manual; maintaining calendars and arranging meetings and conferences; distributing and processing mail; making travel arrangements; copying; faxing; greeting visitors; setting up files; tracking office expenses; and coordinating equipment maintenance.

Requirements for the position include:

-Must be proficient in using MS Office Suite and proficiency in Defense Travel System (DTS) is highly desired.

-Ability to prepare and/or proofread documents in accordance with the Naval Correspondence Manual is desired.

-Independently coordinate and execute office functions, conferences, and other events, as needed is desired.

-Use initiative and foresight to maintain and/or improve the functionality of MFP DPRI office spaces and equipment is highly desired.

-Ability to work independently in a high-pressure work environment is desired.

-Ability to lift 25lbs unassisted is required.

-Ability to drive, and availability of personal vehicle with driver’s license and necessary insurance is required.

Education and Experience:

-Seven years of experience in office administration in an executive-level office setting is highly desired.
