Administrative Support is necessary to perform a wide variety of complex, responsible, and confidential administrative duties in support of this organization.
Essential Duties and Responsibilities:
-Provide on-site support, including managing incoming phone calls on multiple lines; distributing and documenting messages to office staff; greeting and assisting office visitors, and executing office filing.
-Receive and route calls and visitors to the office. Answer questions and handle matters that can be resolved at the administrative level.
-Receive and review incoming correspondence, establish controls on certain items and prepare replies to administrative correspondence. Route correspondence to appropriate office staff.
-Prepare memos in accordance with Air Force Correspondence Manuals. Route memos for appropriate signature. Provide finalized memos to office staff.
-Compile and process documentation requests.
-Provide file documentation support, to include both electronic and hard copies of office generated letters, templates, processes, and other various documentation.
-Aid in office presentations and reviews. Route presentations and reviews for Public Affairs release approval as required.
-Assist in drafting, editing, publishing, printing, distributing, and reviewing various documents, including but not limited to technical reports, training material, white papers, and memoranda.
-Coordinate timecard submission. Ensure all time is submitted by established deadlines and work with supervisors (or acting supervisors) to obtain required approvals.
-Recommend operating procedures to improve workflow to ensure consistency and accuracy of methods of operation and professional protocol.
-Regulate the timely execution of tasks, to include preparing for meetings and special events.
-Manage electronic records management systems, processes and infrastructure
-Serve as primary SharePoint lead/expert that manage, train and advise division staffers
-Perform database management duties; develop/report accountability and readiness systems across programs.
-Process passport and visa requests as assistant to unit Passport Agent; provide staffing and communications flow the Dept. of the Army, 15 Embassies and the Department of State for global travel.
-Other duties as assigned.
Requirements for the position include:
-A minimum of an associate degree is required in Business Administration or an associated field.
-A minimum of 5-years of experience database management, SharePoint administration, electronic records management and passport/visa processes.
